For Mac, iPhone, and iPad

Templates that know who you are writing to.

Write a reply once and use it for years. Postfach fills in the name, the subject, and the date as you insert it, in the language of its folder, for the accounts it belongs to. And like everything else in Postfach, your templates never leave your devices.

Postfach's Templates settings on the Mac: folders for English, Deutsch, and Français in the list, and the template “Thanks, received” open with its placeholder chips

Placeholders that fill themselves in.

Type a placeholder, or click one of the chips above the text to put it where the cursor is. When the template is used, each one becomes the real thing.

  • A reply greets whoever it goes to: the person behind a contact form, not the form
  • Mail from info@ or noreply@ has no first name to guess, so no “Hi Info”
  • A mistyped {{firstname}} is pointed out under the text, before anyone reads it

A reply to Sophie Lang written from the template “Thanks, received”: “Hi Sophie”, the subject in quotes, and 13 September 2026 filled in

One step from the message to the answer.

Choose Message › Reply with Template, or right-click the message, and the reply opens with the template already filled in, above the quoted original. Folders appear as submenus, in the order you gave them.

  • ⌥⌘R opens a picker of templates for the selected message
  • ⇧⌘T puts a template into the message you are writing, at the cursor or over the selected text
  • On the iPhone, press and hold Reply to answer with a template
The Message menu open on the Mac: Reply with Template, then the English folder, with Thanks, received highlighted

Find the right one by typing.

The picker searches names and text as you type, ignoring case and accents, and shows the folder each template lives in. “thanks” finds Quick thanks and Thanks, received; the arrow keys move, Return inserts, Escape closes.

Templates are plain text, so they fit into any message: in a formatted one they take on the formatting at the cursor, as typing would.

The Insert Template picker over a message being written, searching for “thanks” and listing Quick thanks and, in the English folder, Thanks, received

A folder for each language.

Keep your English, German, and French replies apart in folders. Give a folder a language, and {{date}} is written the way that language writes it.

Up to 99 folders and 200 templates. Folders sit side by side, never inside one another, so no menu is more than one level deep. Drag a template to reorder it or to move it into a folder, and the menus follow.

The right templates for each account.

The invoice template belongs to the business account, not to the one you use for the climbing club. Give a template one or more accounts, and it is offered only where it fits: when you reply to mail that came to one of them, or write from one of them. A template for all accounts is offered everywhere.

  • Templates limited to some accounts are marked in the list
  • Remove an account, and its templates go back to all accounts rather than disappearing

From your Mac to your iPhone, through your own mail.

Postfach has no cloud to sync with, so your templates travel the way mail does. Choose Send Templates by Email, pick the account to send from and the one to send to, and open the message on your other Mac or iPhone. A banner above it offers to import them.

Your accounts, settings, and junk rules get across too, in a file or by mail. More about your devices →

  • Sent through your own mail server, like any message, with a copy in Sent
  • A message that did not come from one of your own accounts carries a warning before anything is imported
  • Templates for accounts the other device does not have are left out, and named
The Send Templates by Email sheet: From and To both info@postfach-app.com, with 10 templates in 3 folders The message “Postfach templates, 13 Sep 2026” open on the other device, with a banner offering Import… above the attached file

Export, import, and a way back.

Export writes every folder and template into one file, such as postfach.templates.2026-09-13.json: plain JSON you can open in any editor, keep as a backup, or compare with an older one.

Import reads the whole file before it changes anything. A file that is too large, not a Postfach templates file, or holds a name that would read differently in a menu is refused, with what is wrong and where. Then a summary shows what will change, and only Replace replaces.

  • The templates an import replaces are kept in the history, the last 20 times, each a click from being restored
  • An import replaces every template and folder in one step, or none of them
The summary before an import: templates 10 to 11, folders 3 to 3, and “Studio offer” left out because its account is not on this device

And the small things.

Saved as you type

The editor saves a moment after you stop typing, and again when you move on. Nothing is lost by picking another template halfway through a sentence.
